Listing reasons for your resignation is unnecessary. Do not use the resignation letter as a time to vent your frustrations. Your employer probably already knows your reasons for wishing to leave. You do not need to reiterate them. Simply be straight forward and to the point. Plainly say, ”I am resigning”.
A resignation letter is mostly sent as an email and must be addressed to the reporting manager and the HR. It’s not just an information for your boss that you intent to leave but it is also an advance intimation to superiors, and human resources so that they can find a replacement for your position.
Another major factor to consider while writing the letter is the notice period. Companies will have their own set of rules along with their notice period. It is wise to write the letter knowing about the notice period of the company and the procedures to submit the termination letter. Ensure you have a positive approach and method to leave the company irrespective of the days or years you have worked. It is always important to maintain your respect and professionalism and to set examples for others. Even if you had negative experiences with the employer, ensure you leave the company professionally bidding good-bye. It could be difficult to leave a company mainly if you have lot of good memories to take with you.
My last working day will be [DD/MM/YY – (one/two months from the date you give notice depending on company policy)]. I promise to wrap up my duties and train my replacement during this time. Please do let me know if there’s anything else I can do to aid during this transition.
Your resignation letter should not alienate or provoke your employer by the use of inappropriate words. As far as possible, try to conserve your goodwill and keep your future options safe. It is a small world indeed. You never know that after sometime, your boss may also leave the organization, and join again as your boss in your new job. There is another reason for you to be careful-reference and recommendation. When you are applying for a new job, the new employer will inevitably ask for references, sometimes from previous employers. It is best to be balanced and professional in the wordings of the letter, even if the circumstances surrounding the resignation are not exactly so.
